Business Centre Management Software: What UAE Operators Actually Need

International coworking platforms assume you are only a landlord. A business centre in the UAE is also a registered address, an Ejari registrant and the holder of a year of post-dated cheques. Here is what that changes about the software you need.

There is a good reason UAE business centre operators try three international coworking platforms and end up back in a spreadsheet. The platforms are competent. They are just built for a different job.

The job is bigger here

In most markets a coworking operator rents space and takes a card payment. That is the whole relationship. In the UAE a business centre typically also:

  • Provides the registered address that appears on the tenant's trade licence.
  • Registers the Ejari that the tenant needs for their licence and their corporate bank account.
  • Holds post-dated cheques covering the term, with deposit dates spread across the year.
  • Collects and holds tenant documents, including trade licence, passport and Emirates ID copies.
  • Carries a regulatory exposure if a tenant's licence lapses while your address is still on it.

None of that is an edge case. It is the core of the business, and it is precisely the part a desk-booking platform has no concept of.

What that means in practice

A system that fits a UAE business centre needs to hold three things that coworking software generally does not.

A tenancy record, not just a membership. Term, notice period, renewal date, security deposit, Ejari reference and the trade licence it supports, all on the tenant.

A cheque schedule. Cheque number, bank, amount and deposit date for every cheque in the drawer, with a reminder before each deposit and a record when one bounces.

Document expiry. The tenant's trade licence, the Ejari and the identity documents of the people on it, each with its own expiry and its own warning.

The part that is the same everywhere

Space inventory, meeting room bookings, included hours and overage billing are genuinely common to every market, and any decent platform handles them. The question is not whether a system does the easy half. It is whether it does the easy half and the UAE half in one place, or whether you will end up running the second half in a spreadsheet anyway, which is exactly where most operators started.

One more consideration

A great many UAE business centres also sell business setup and PRO services, or work hand in glove with a firm that does. If the tenancy lives in one system and the licence file in another, the same client exists twice and the connection between the flexi desk and the licence it supports is held only in someone's head. That is a needless fracture in the most valuable relationship you have.
